Position Description: Part-Time Office Secretary


Function

The Office Assistant manages much of the day-to-day tasks of the church. They perform a wide variety of secretarial, clerical and administrative duties. Under the direction of the Office Manager, they will quickly and kindly respond to the various needs and requests of church members and attenders, community members, and businesses and will support the Pastors, Elders, and Ministry Leaders to allow for better member engagement. They will help prepare for and promote ministry events with the aim of consistently excellent activities and communications.

 

Characteristics and Skills Required

Candidates shall be or have:

  • A commitment to continued personal spiritual growth and formation
  • An active member of The Chapel and willing to abide by The Chapel’s Statement of Faith
  • Exceptional interpersonal skills
  • Outgoing, with the ability to positively relate to and interact with multiple generations
  • A team player showing a willingness to serve
  • Professionalism and reliability with attention to detail
  • Dependable, able to hold information in confidence
  • Multitasker, problem solver, flexible
  • Teachable with a willingness to learn
  • Strong written and verbal communication skills

Duties and Responsibilities

  • Greet walk-ins, answer phones, emails
  • Attend prayer and staff meetings as needed
  • Assist with printed materials, email communications, website, app, and social media
  • Create online forms for registrations & payments
  • Maintain member information in church database
  • Create & manage workflows for member activity (baptism, wedding, prayer, membership, etc)
  • Maintain inventory of office supplies
  • Copier maintenance
  • Mail sorting and distribution
  • Oversee Building Use Calendar and liability forms
  • Oversee inventory of church assets (vehicles, tables & chairs, tablecloths, coolers, etc)
  • Restock supplies in common areas (pens in pews, brochures in lobby, etc)
  • Routinely check facilities for maintenance needs (appliances, AEDs, leaks, damage) and report to maintenance team for repair
  • Participation in event planning and volunteer management
  • Support pastors, elders, deacons, ministry leaders with miscellaneous tasks as needed

Hours

Estimated 10-15 hours/week with additional hours during busy ministry seasons and to cover during maternity/vacations/illness. Hours worked will be between 8:30am and 4:30pm, Monday through Friday.


*The Chapel desires to hire individuals who will benefit the ministry most effectively. We wish to hire persons of sound moral character who are highly qualified for the positions being filled.


We would expect employees of The Chapel to be believers and emulate the qualities expressed in 1Timothy 3:8-13. Although these are requirements for deacons and elders, they are certainly the standard for ministry, and as such, employees of the church would reflect these characteristics in their lives. Failure to fulfil these standards may affect continued employment at The Chapel.


We believe that in order to preserve the function and integrity of the church as a local Body of Christ, and to provide a Biblical role model to the church members and community, it is imperative that all persons employed by the church in any capacity, or who serve as volunteers, should abide by the statement of faith – Article X of our By-Laws in its entirety - and conduct themselves accordingly (2 John 1:9-11, Romans 16:17)

Position Description: Part-Time Cusotidan


Function

Our custodians maintain and protect our facilities. The appearance of our church building reflects on its people. It is important for a custodian to be careful and thorough in working, cleaning and tidying the facility.

 

Characteristics and Skills Required

Candidates shall be or have:


  • A commitment to continued personal spiritual growth and formation
  • An active member of The Chapel and willing to abide by The Chapel’s Statement of Faith
  • A servants’ heart (desire to serve The Chapel Community)
  • Attentive to detail and able to work independently
  • Very good physical condition and strength
  • Maintain confidentiality
  • Access to reliable transportation to and from work
  • Flexibility, including available to work some evenings or early mornings and occasional weekend hours


Responsibilities

  • Ensure spaces are prepared for the next event by taking out trash, tidying furniture, dusting surfaces, and cleaning whiteboards or chalkboards
  • Sweep and mop floors and vacuum carpets
  • Gym floor maintenance
  • Wash and sanitize toilets and sinks and restock disposables (e.g. soap, paper towels, toilet paper)
  • Wipe mirrors and windows
  • Room set up of tables & chairs
  • Special building use setup/cleanup (weddings, retreats, conferences, etc)
  • Communicate with custodial coordinator and office manager (submit weekly checklist, report facility damage or misuse, supply needs, and any difficulties or suggestions)


Hours

Estimated 5 hours per week, with fluctuations during busy ministry seasons and to cover during vacations/illness/etc.
